Community Outreach Booth Notes & Requirements

Please review the following information before submitting your application:

Organizations are responsible for providing their own 10' x 10' tent, tables, chairs, displays, and promotional materials.

Tent weights are required for all canopy tents. Stakes are not permitted unless approved by event staff.

**Community Outreach Booth Placement:** Organizations will select their preferred booth location from the available spaces during the required vendor and organization meeting. Booth locations are not assigned by the Parks & Recreation Department; staff will document and confirm each organization’s selected space. Organizations that are unable to attend the meeting will be able to select from the remaining available booth spaces after the meeting. Parks & Recreation staff will assist organizations with identifying their selected location and navigating the booth layout but will not determine or select a booth location on the organization’s behalf.

Community Outreach Booths are intended to provide educational information, public resources, community services, health and wellness information, and program awareness to event attendees.

Organizations are encouraged to create an engaging and interactive booth experience through demonstrations, activities, educational displays, or giveaways.

Distribution of informational materials, promotional items, and free resources is encouraged. The sale of merchandise is not permitted unless prior approval has been obtained from the Parks & Recreation Department.

Booths must maintain a family-friendly atmosphere and comply with all City of Brownsville policies and event guidelines.

Booths must be fully set up by 5:30 PM and remain open and staffed for the duration of the event (6:00 PM – 10:00 PM).

Organizations are responsible for maintaining a clean booth space and removing all trash before departing.

Event Schedule

**Organization Check-In:** 3:30 PM – 4:30 PM
**Setup:** 3:30 PM – 5:30 PM
**Event Hours:** 6:00 PM – 10:00 PM
**Breakdown:** 10:00 PM – 11:00 PM
